US companies are obliged to release personal data to security authorities without you as the data subject being able to take legal action against this. Rights of the data subject

Data collection on this website

When you visit our website, non-personal usage data such as your IP address, the address of the last page visited, the browser used, date, time, etc., are registered. The data recorded does not allow any conclusions to be drawn about you personally. The data allows us to ensure that the website is provided without errors and to improve the quality of the service by identifying trends and usage behaviour. We use this data to ensure the full functionality of our website.

The key and consent status are also stored in the end user’s browser in the cookie “CookieConsent” so that the website can automatically read and follow the end user’s consent in all subsequent page requests and future end user sessions for up to 12 months.

The key is used as proof of consent and for an option used to check if the consent status stored in the end user’s browser matches the original consent status sent to Cybot. All user data will be deleted by Cookiebot after 12 months from the date of registration (cookie consent) or immediately after termination of the Cookiebot service.

The hosting services offered by Nine Internet Solutions AG and Microsoft Azure are used to provide infrastructure and platform services, database services, computing capacity, security measures and storage space as well as technical maintenance services, which we use for the purpose of operating our online services.

We use the online marketing service Google Ads to place advertisements in the Google advertising network (e.g. in search results, in videos, on websites, etc.) so that they are shown to those users who are likely to be interested in the advertisements. This allows us to place advertisements for and on our website more specifically in order to only present you advertisements that are potentially of interest to you. If, for example, you are shown advertisements for products that you were interested in on other websites, then this is referred to as “remarketing”. For this purpose, when you visit our website and other websites on which the Google advertising network is enabled, Google immediately executes a code from Google, and so-called (re)marketing tags (invisible graphics or code, also known as “web beacons”) are integrated into the website. Google Optimize is a testing tool from Google that can be used on our website to optimise pages and improve the user experience. Google Optimize allows different versions of a website to be displayed simultaneously. This allows us to evaluate which version best meets the wishes and expectations of our users.

We use the conversion and tracking tool “Bing Ads” from the Microsoft Corporation, One Microsoft Way, Redmond, WA 98052-6399, USA, on our website. Microsoft stores cookies on your device to enable analysis of your use of our website if you have accessed our website via a Microsoft Bing ad (so-called “conversion measurement”). In this way, Microsoft and we can recognise that someone has clicked on an ad, has been redirected to our website, and has reached a previously determined target page (the so-called “conversion page”).

Audio and video conferences

We use online conference tools, among others, to communicate with our customers. If you communicate with us via a video or audio conference over the Internet, your personal data will be collected and processed by us and the provider of the respective conference tool.

Data processing

The conference tools record all data that you provide/use to use the tools (email address and/or your telephone number). The conference tools also process the duration of the conference, the start and end (time) of your participation in the conference, the number of participants and other “context information” related to the communication process (metadata).

In addition, the provider of the tool processes all technical data that is necessary to handle online communication. This includes in particular IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker as well as the type of connection.

If content is exchanged, uploaded or otherwise made available within the tool, then this content is also stored on the servers of the tool providers. Such content includes in particular cloud recordings, chat/instant messages, voice mails, uploaded photos and videos, files, whiteboards and other information shared while using the service.

Please note that we do not have full influence on the data processing operations of the tools used. Our options depend largely on the corporate policy of the respective provider. For further information how data is processed by the conference tools, please refer to the privacy policies of the tools used, which we have listed below.

Purpose and legal basis

The conference tools are used to communicate with prospective or existing contract partners or to offer specific services to our customers (Art. 6(1)(b) GDPR). Furthermore, the use of the tools serves to generally simplify and accelerate communication with us or our company (legitimate interest within the meaning of Art. 6(1)(f) of the GDPR. If consent has been requested, the use of the corresponding tools is based on this consent; you can revoke your consent at any time with effect for the future.

Retention period

The data we collect directly via the video and conference tools will be deleted from our systems as soon as you request deletion, revoke your consent to storage or the purpose for storing the data no longer applies. Cookies stored on your device remain there until you delete them. Mandatory statutory retention periods remain unaffected.

We have no influence on the storage period of your data, which is stored by the operators of the conference tools for their own purposes. For details, please contact the operators of the conference tools directly.

Conference tools used

We use Microsoft Teams. The provider is Microsoft Corporation, One Microsoft Way, Redmond, WA 98052-6399, USA. Details on how data is processed can be found in the Microsoft Teams Privacy Statement.

We have concluded a data processing agreement with the provider of Microsoft Teams and fully implement the strict requirements of the German data protection authorities when using Microsoft Teams.
